Terms and Conditions

By reserving a tour online, over the phone, or via email correspondence, you agree to the terms set forth. Your payment and/or deposit with Albemarle Limousine & Travel Service, LLC, Albemarle Coach, LLC, Blue Ridge Wine Excursions, Blue Ridge Excursions Unlimited, or any additional and related organizations acts as an agreement and an acknowledgement that you understand the terms and conditions of the services set forth.

No refunds will be issued for cancellations.

Once reserved, dates cannot be changed or rescheduled.

If reserving service via a deposit link, the balance of your tour will be billed to your card on file the following business day.


The client assumes full financial liability for any damage to the limousine caused during the duration of the rental by them or any members of their party. This responsibility includes, but is not limited to: ensuring that while in Provider’s vehicles there will be no smoking, no use of illegal drugs, and no behavior that is dangerous, out of control or that may compromise and put at risk lives or property.


Sanitation Fee “You spill? We bill.”

(for the clean up of bodily fluids, sticky substances, excessive messes, etc.) is typically:

  • $250.00 for sedans and SUVs.

  • Up to $375 for mini-coaches and motorcoaches


Music

Due to the wide variety of phones and connectors we do not supply AUX or USB cables for playing music. Please bring an AUX cord and USB cord that fits our phone if you would like to play music from your phone.


Pet Fee

Bringing animals/pets on board must be approved prior to reservation. Animals must weigh 50 lbs or less. Animals that are approved are subject to a $35 fee. This is an entrance fee and does not cover fees related to additional cleaning, or damage which may be caused by the animal. Any damage or additional cleaning required will be assessed after the conclusion of the reservation and will be added to your bill when your reservation is closed.


Cancellation policy for hurricanes, and other weather conditions that make transportation unsafe:

If weather conditions on the date of service allow for safe transport then we consider the service as available and reserved. Refunds are not available.

If weather conditions prohibit safe transport on the date of service (ie. we are actively in a hurricane, or roads are flooded) we allow for a cancellation and refund, and we would preemptively notify the client of a cancellation. Refunds would be issued, minus 5% processing fees. Should you wish to transfer your date we can do this pending availability.

CANCELLATION POLICY FOR HURRICANES, AND OTHER WEATHER CONDITIONS THAT MAKE TRANSPORTATION UNSAFE:

If weather conditions prohibit safe transport on the date of service (ie. we are actively in a hurricane, or roads are flooded) we allow for a cancellation and refund, and we would preemptively notify the client of a cancellation. Refunds would be issued, minus processing fees. Should you wish to transfer your date we can also do this pending availability.


Any unexpected closure, or reservation cancellation, of a winery, vineyard, or any other venue or planned stop is the responsibility of the cancelling party. Albemarle Limousine is not responsible for such cancellations and is not liable. Any complaint of inconvenience or harm caused by such cancellation can be directed to the cancelling party.

Behavior that is unsafe or that is derogatory or abhorrent, or that causes a venue we visit to notify us, or your group, that you must leave, will result in an immediate cessation of service. Depending on the severity of your group's actions your group may be left at a location other than the one requested and prior to the end of your full reserved tour times length. If this occurs, you are still responsible for the entirety of your bill and any additional transportation you require from other services to return to your requested drop off location.


Wine Tour Itinerary Planning Survey Completion (Survey)

After making a reservation for a Custom Wine Tour, a Wine Tour Itinerary Planning Survey will be sent to you.

- For Reservations made at least 30 days in advance of tour date, the Survey must be filled out at least 21 days prior to tour.

- For Reservations made 10 to 29 days or fewer prior to tour date, the Survey must be filled out 3 days after making a reservation.

- For Reservations made less than 10 days before tour date, the Survey must be filled upon receipt.

Late Survey Fee - Failure to fill out the Survey on time may result in a less than desirable itinerary, or lack of set itinerary. Filling out a Survey after the deadline will result in a Late Fee of $50. If you do not fill out the Survey and do not request any assistance with your itinerary from the Company, no Late Fee is assessed. The validity and feasibility of the itinerary that you present will be the client’s responsibility. The Company will not be responsible for an unsatisfactory tour in this case.

Itinerary Confirmation

Once Survey is complete, we will work to complete an itinerary for you at least 14 days prior to your tour. If fewer than 14 days remain prior to your tour when your Survey is completed we will attempt to complete your itinerary within 3 business days of submission. For times when a Survey is completed with less than 4 days prior to tour date, we will make every effort to complete your itinerary ASAP.

Itinerary Modifications

Once an Itinerary is finalized and confirmed, all client requested adjustments to itineraries should be received no later than 10 days prior to service date.

We will attempt to accommodate itinerary changes but cannot guarantee timing and location adjustments due to pre-existing reservations. Depending on the degree of requested change, a change fee of $50 may be assessed per change.

Adjustments to itineraries with less than two weeks notice will be accommodated, contingent on availability and, due to additional staff time and/or expended resources, will result in late reservation alteration fee(s) of up to $75.

Late Change Fee - For reservations that have finalized and confirmed itineraries client requested changes incur a $75 fee per change.

Closures

Wineries and/or Venues occasionally, and with little to no notice change, change their hours of operation, close without notice, close for private events, or close for other reasons. Closures are not always published on all winery business information. Closures some times occur regardless of clients having reservations. Blue Ridge Wine Excursions is not responsible for these last minute closures or the impact to your itinerary. We will work to find substitutions should a change like this be required.


Fuel Surcharges: Rates subject to change based on current market rates. If fuel prices at the time of your service exceed $3.25/gallon a commensurate fuel surcharge plus a $5 administrative fee will be added to your reservations.


If gratuity is billed to a credit card on file, a 3% STC charge will be applied to your reservation due to credit card processing and payroll fees associated with that billed gratuity.

*Overtime charges for Wine Tour Packages will be billed at the normal hourly rate for the tour vehicle. Please inquire about current hourly rates to know what your additional hourly charge will be.

* Gratuity is not required but can be offered if you would like to acknowledge exceptional customer service.

* Pick up locations outside of the City of Charlottesville incur a surcharge based on distance from Charlottesville.

* Any items left in the vehicle are the responsibility of the passengers. Albemarle Limousine is not responsible for any items lost during transportation service. If items are found they can be returned immediately or shipped, for an appropriate fee.

* “NO SHOW” Charges: Billed at the quoted price.

*WINE TOUR: For groups of 7 or more changes to itinerary and reservations incur a $75 Alteration Fee.

Changes to itinerary may not be possible due to pre-existing reservations. Changes in group size may be accommodated given availability. Balance of originally scheduled tour will not decrease if party size decreases. Utilizing fewer hours than the minimum 5 hour tour will not result in a discount for unused time.

Company is not liable in the event of mechanical breakdown while on charter and will only be responsible for making up lost time at a mutually agreed date. It is understood and agreed that the Provider will have no liability to the Client or any other party for any loss or damage (whether direct, indirect, or consequential) which may arise from the provision of the services. Affiliate companies are sometimes utilized in the case of mechanical issue, or due to vehicle availability.

For charges in addition to the pre-packaged time listed on the tour you reserved, hourly rate is in effect from garage to garage, to include our travel time to and from event (for non-Charlottesville events). See hourly rates by vehicle type here.

Overtime pay will apply after the first 10 minutes of prearranged time described on the confirmed reservation.

Vehicles cannot be loaded beyond seating capacity.

Limitation of liability extends to and specifically includes lost or damaged items and loss or damage due to conditions beyond Provider’s control such as acts of God, inclement weather and unforeseen mechanical failure.

We reserve the right to substitute another vehicle should inclement weather or mechanical difficulties necessitate such in the interest of safety.
